University of Economics Ho Chi Minh City (UEH) recently launched its new and improved E-Office system with official deployment for use on September 1, 2021. Developed as a replacement for the current software, it is with hope that the new version can help improve the quality of executive management at UEH in its efforts to expedite the university’s digital transformation in the era of Industrial Revolution 4.0
With plans to reform operational duties as well as saving time and costs and as part of UEH digital transformational strategy, the new E-Office system was finally updated and deployed for use with hopes to bring about a professional digitalized working environment at the university.
The updated E-Office system includes many new upgrades and interactive functions such as digital signatures, assigning internal inter-departmental tasks, archiving legal documents, all in an effort to manage workload associated with monitoring and evaluating individual and unit OKRs.
Dr. Bui Quang Hung - Vice President of UEH shared: “As a key and important contributor in Vietnam’s higher education system, University of Economics Ho Chi Minh City always strive to innovate, internationalize, and take the lead in all efforts of digital transformation for the university. The introduction of this new E-Office system is a prime example of such mission. Within the span of 365 days and under the diligent and hard work of our IT Department, it’s milestone worth celebrating that this new system is now ready for use, albeit needing further upgrades with more elaborated functions in the future. Nonetheless, at present, university employees and teaching staff can already access the platform to implement a document tracing system, look up legal documents and most especially, commencing the start of digital efforts in university management activities. Moving forward, the system will also integrate UEH KPI evaluation system so as to become a comprehensive system that can assign, monitor and assess the quality of completed works done by each UEHer. Additionally, the system will also be incorporated within the UEHer Mobile App and other departmental websites/software to ensure a consistent digitalized front throughout the entire university. It is expected that by the end of this year, the E-Office system will be fully developed so that starting next year, smooth operations for the multidisciplinary UEH University can be ensued.”

To prepare for the official implementation from September 1, 2021, UEH held a training session on how to use the Electronic Office system (E-Office) with the participation of more than 190 teachers, school officials on the morning of August 31, 2021.
During the session, MSc. Dang Thai Thinh – Deputy Head of the IT Department, carefully instructed all UEH personnel on how to use the main functional modules of the system such as how to reserve UEH vehicles, how to process incoming/outgoing/legal/public documents, and how to carry out internal documents and assign duties.

Trainees in attendance of the training were eager to learn how to operate the new system as well as enthusiastically shared their own experience and suggestions on ways to make the E-Office platform even more user-friendly and accessible. Dr. Vo Tat Thang - School of Economics proposed: "It’s always been a struggle to manage the various activities and joint projects across the different Schools and Departments within the university as none were actively synced to one another. However, with this new system upgrade, I’m hopeful that all Schools and working units can now enjoy a more seamless experience when working together”

With aspirations to optimize university operations, the E-Office system will continue to be improved in the coming days with more functions and integrations with existing apps, software, and applications to ensure synchronization cross the university. It is with hope that the system will enable more fruitful collaboration between the university official, employees and teaching staff as well as more constructive feedback to help improve and enhance the E-Office capacity in the days of UEH digital transformation.
The introduction of UEH new and improved E-Office system is one powerful move in UEH’s overall digital transformation efforts as it will have a significant impact on UEH university brand reputation of a smart learning and working environment. Additionally, this is also a step forward to turn UEH into a pioneer in technology application-oriented training, meeting the demands of an increasingly competitive and integrated labor market.
